Job Summary:

The Meetings and Events Coordinator will be responsible for delivering exceptional experiences by promptly addressing internal/external requests, complaints, and concerns to deliver on our Regent experience. 

The ideal candidate will be the point of contact with coordinating VIP amenities, managing special requests, and overseeing service details. Additionally, the coordinator liaises with external vendors for services such as floral arrangements or audio/visual setups, ensuring all requirements are met and exceed client expectations. Regular follow-ups and attention to detail are essential to maintain service quality and guest satisfaction.

A little bit about your day:

Reporting to the Director of Sales and Marketing, every day is different, but you’ll mostly:

  • Promote Regent’s service philosophy and style through our people attributes. 
  • Maintain impeccable personal grooming standards to uphold the professional and property style of the resort.
  • Support managers with Banquet Event Order (BEO’s) creation, client services, reservations, and document preparation.
  • Distribute detailed and accurate BEO’s in a timely manner.
  • Generate required reports on a daily, weekly, and monthly basis.
  • Assist managers with client and vendor communication.
  • Maintain confidentiality of guest and employee information.
  • Respond to guest inquiries and address concerns.
  • Coordinate and service in-house events and manage banquet check data in Delphi.
  • Attend meetings, create and distribute minutes.
  • Maintain knowledge of all resort activities and featured services.
  • Manage department filing systems and ensure accurate data entry in Delphi.
  • Audit and improve office systems, ensuring adequate office supplies are in-stock at all times.
  • Redirect press inquiries to the appropriate personnel without disclosing sensitive information.
  • Assist with guest room tours, property tours, special guest requests, and maintain calendars.
  • Perform other duties as assigned.

Requirements:

  • 1 year experience in Sales or Catering office, within a luxury hotel preferred.
  • High School Diploma required; some College Coursework preferred.
  • Excellent communications skills, both verbal and written. 
  • Basic math skills are used frequently.
  • Ability to build rapport and establish trust with clients and colleagues.
  • Demonstrate a luxury service attitude and delivery style to internal and external stakeholders.
  • Detail-oriented, comfortable with in-house systems such as Delphi, Opera, Word, Excel, PowerPoint, Outlook, etc.
  • Highly organized with exceptional time management skills to handle multiple projects simultaneously.
  • Creative problem-solving skills to strategically deliver tailored solutions.
  • Ability to sit for prolonged periods and able to move throughout the property as required.
  • Ability to stand, stoop, and bend repetitively.
  • Carrying or lifting items weighing up to 25 pounds. 
  • May be required to work nights, weekends, and/or holidays.

What you can expect from us: 

The hourly pay range for this role is $31.00 to $33.00. This range is only applicable for jobs to be performed at Regent Santa Monica Beach. This is the lowest to highest pay scale we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. A colleague’s pay position within the pay range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, and business or organizational needs.

Note: No amount of pay is considered to be wages or compensation until such amount is earned, vested, and determinable. The amount and availability of any bonus, commission, or any other form of compensation that are allocable to a particular employee remains in the Company's sole discretion unless and until paid and may be modified at the Company’s sole discretion, consistent with the law.
