Your day to day
Planning and Coordination
- Event Planning: Develop and manage event concepts, themes, and logistics.
- Budget Management: Create and manage budgets for events, ensuring cost-effectiveness.
- Vendor Management: Source and negotiate with vendors (catering, AV, décor, etc.) and ensure quality service delivery.
Client Interaction
- Client Consultation: Meet with clients to understand their needs, preferences, and objectives for the event.
- Relationship Building: Maintain strong relationships with clients and provide exceptional customer service.
Team Leadership
- Team Coordination: Lead and coordinate a team of staff and volunteers during events.
- Training and Supervision: Train team members on event protocols and procedures.
Execution
- On-Site Management: Oversee all aspects of event execution, including setup, service, and breakdown.
- Problem-Solving: Quickly address any issues that arise during the event to ensure a seamless experience.
Marketing and Promotion
- Event Promotion: Collaborate with marketing teams to promote events through various channels.
- Feedback Collection: Gather and analyze feedback post-event for continuous improvement.
Reporting
- Performance Reporting: Create reports on event outcomes, attendance, and financial performance.
- Data Analysis: Use feedback and data to assess success and areas for improvement for future events.
Compliance and Safety
- Regulatory Compliance: Ensure all events comply with local regulations, including permits and health codes.
- Safety Planning: Implement safety protocols and risk management strategies for events.
What we need from you
Experience
- Event Planning Experience: Several years of experience in event planning or management, ideally in a similar role.
- Vendor Relations: Experience in negotiating with and managing vendors and suppliers.
Skills
- Project Management: Strong organizational and project management skills to handle multiple events simultaneously.
- Communication: Excellent verbal and written communication skills for client interaction and team coordination.
- Budgeting: Proficiency in budgeting and financial management.
- Problem-Solving: Strong analytical and problem-solving skills to handle unexpected challenges.
Technical Skills
- Software Proficiency: Familiarity with event management software, registration systems, and basic office software (e.g., MS Office).
- Social Media and Marketing: Understanding of social media and marketing strategies to promote events.
