POSITION OVERVIEW:
As Sales Coordinator, you will serve as a vital link ensuring the seamless planning and execution of sales events t from initial inquiry to final wrap-up. Your role is to anticipate client needs, respond promptly to requests, and meticulously coordinate all event details with grace and precision, delivering flawless experiences that reflect the elevated standards of InterContinental® Boston.
Key Responsibilities:
- Respond promptly and professionally to client inquiries and special requests, gathering and confirming final details including dates, times, guest room blocks, and meeting space requirements.
- Maintain consistent communication and ensure all client information is accurately documented and thoughtfully updated.
- Craft polished proposals, correspondence, and contracts with attention to detail and brand standards. Manage departmental reporting, maintain organized databases, and support the team with refined administrative coordination.
- Graciously resolve guest and client concerns with discretion and care, ensuring every experience is elevated and satisfactory. Promptly communicate any significant issues or feedback to leadership.
- Foster seamless collaboration and service excellence through daily engagement with fellow departments. Coordinate internal efforts around VIP arrangements, bespoke requests, and personalized service needs.
- Where appropriate, liaise with preferred external partners, such as florists and audiovisual specialists, to ensure all third-party services align with the hotel's standards of sophistication and quality. Conduct thorough follow-up to confirm event and service setups exceed client expectations.
- Support the sales team through a variety of essential tasks, including hosting guest room and property tours, managing calendars, handling special requests, directing phone calls with professionalism, and overseeing the flow of mail and communication materials.
WHAT WE NEED FROM YOU
- High School diploma or equivalent required; hospitality or tourism-related college education preferred.
- Minimum 1 year of experience in a guest services, front office, or concierge role, preferably in a luxury hotel or resort setting.
- Impeccable verbal and written communication skills in English; additional languages are a plus.
- Exceptional interpersonal skills with a natural ability to connect with people from diverse backgrounds.
- Proficiency in Microsoft Office and property management systems; Opera knowledge is a plus.
- A polished and professional appearance, with an innate attention to detail.
- Ability to remain composed under pressure and gracefully resolve guest concerns.
- Flexibility to work varied shifts including evenings, weekends, and holidays as required.
