An Executive Assistant to the General Manager plays a crucial role in supporting the General Manager and ensuring smooth operations. Here are the typical day-to-day activities for this position:

Day-to-Day Activities of an Executive Assistant to the General Manager

  1. Administrative Support:
    • Managing the General Manager's calendar, scheduling meetings, and coordinating appointments.
    • Handling correspondence, including emails, phone calls, and letters, on behalf of the General Manager.
    • Preparing and distributing meeting agendas, minutes, and reports.
  2. Documentation and Reporting:
    • Assisting in the preparation of various reports and presentations.
    • Maintaining accurate records and filing systems for easy retrieval of information.
    • Compiling and analyzing data for reports and presentations.
  3. Meeting Coordination:
    • Organizing and coordinating meetings, including executive committee meetings and department meetings.
    • Attending meetings, taking notes, and ensuring follow-up on action items.
  4. Guest Relations:
    • Handling VIP guest requests and ensuring their needs are met.
    • Coordinating special arrangements for VIP guests and ensuring a high level of service.
  5. Project Management:
    • Assisting with special projects and initiatives as directed by the General Manager.
    • Coordinating with various departments to ensure project milestones are met.
  6. Communication:
    • Acting as a liaison between the General Manager and other hotel staff, guests, and external partners.
    • Ensuring effective communication and information flow within the hotel.
  7. Problem-Solving and Issue Resolution:
    • Addressing any issues or concerns that arise and finding effective solutions.
    • Ensuring that the General Manager is informed of any significant issues.
  8. Event Planning and Coordination:
    • Assisting in the planning and execution of hotel events and functions.
    • Coordinating with other departments to ensure successful event execution.

Skills and Qualities Needed

    • Ability to communicate clearly and effectively with the General Manager, hotel staff, and guests.
  2. Organizational Skills:
    • Managing multiple tasks and maintaining detailed records efficiently.

    • Ensuring accuracy in documentation and scheduling.

    • Building rapport and maintaining relationships with guests and colleagues.

    • Addressing and resolving issues promptly and effectively.

    • Handling sensitive information with discretion and maintaining confidentiality.

Working as an Executive Assistant to the General Manager in an international luxury hotel requires a combination of strong communication, organizational, and problem-solving skills. This role is essential for ensuring that the General Manager can focus on strategic initiatives while the day-to-day administrative tasks are handled efficiently 

What we need from you

Ideally, you'll have some or all of the following competencies and experience we're looking for:

• Bachelor’s degree, higher education qualification or equivalent in Hotel Administration / Business Administration 

• Two to Three years’ prior tenure in a similar role

• International luxury hotel chain background

• GCC exposure

• English Fluency is required 

• Arabic Fluency is preferred
