Assist in the coordination of daily activities and special projects to support departmental business operations for IHG Revenue Services department. Perform a variety of administrative duties, and become conversant with all IHG Revenue Services responsibilities and processes.
Your day to day:
- Assist with planning and coordination of special projects within IHG Revenue Services, including creating project timelines, action steps, and regular status updates, ensuring timely contract execution through follow-ups and effective communication.
- Prepare, organize, and distribute IHG Revenue Service agreements, hotel assignments, and other related documents to leadership teams, ensuring accuracy and proper record-keeping.
- Research and compile data to develop spreadsheets or databases for account management insights, maintaining permanent Revenue Service records in Salesforce for monthly leadership reports across Europe, Middle East, Africa, and Asia regions.
- Support monthly billing activities by verifying accuracy, ensuring proper coding, and maintaining tracking systems to provide consistent reporting for IHG Revenue Services.
- Draft, review, and monitor correspondence and departmental documents for accuracy, manage calendars, coordinate mail, maintain filing systems, and facilitate departmental workflow. Perform additional administrative support and coordination tasks as required.
What we need from you:
- Education & Experience: High School Diploma or equivalent; 2–3 years of administrative experience in a professional office or hotel environment;
- Proven proficiency in PC skills with expertise in software such as Excel, Microsoft Word, PowerPoint, Outlook, and email platforms; familiarity with Salesforce applications is preferred but not mandatory.
- Strong oral and written communication skills for effectively conveying information to internal and external stakeholders or preparing clear and accurate reports and correspondence.
- Advanced analytical skills to track and maintain data accurately, identify trends, and resolve inconsistencies in reporting.
- Exceptional organizational and multitasking abilities to manage multiple assignments and projects with precision, ensuring timely completion within budget and specified deadlines.
- Effective problem-solving skills to maintain workflow, address inquiries, and resolve day-to-day issues efficiently.
- Strong mathematical aptitude for verifying accuracy in calculations, reconciling balances, and ensuring data integrity.
