Job Summary:
As a Purchasing Coordinator at our 5-star hotel, you will play a key role in managing the procurement process, ensuring timely and cost-effective purchasing of goods and services. You will work closely with various departments to meet their needs while adhering to hotel policies and maintaining the highest standards of quality and efficiency.
Key Responsibilities:Procurement Process:
- Source and procure goods and services as requested by different departments.
- Obtain and evaluate competitive quotes to ensure cost efficiency.
- Maintain strong relationships with approved suppliers and negotiate contracts for the best terms.
Inventory Management:
- Ensure stock levels are maintained at appropriate levels.
- Monitor inventory records and coordinate with the stores department to avoid shortages or overstocking.
- Conduct regular audits to maintain accuracy and quality of inventory.
Vendor Relations:
- Develop and maintain strong relationships with local and international suppliers.
- Regularly evaluate supplier performance and ensure compliance with hotel standards.
- Resolve any disputes or discrepancies with suppliers promptly.
Compliance and Documentation:
- Ensure all purchases comply with hotel policies and budget guidelines.
- Maintain accurate records of purchases, delivery timelines, and supplier contracts.
- Assist in preparing reports related to procurement activities for management review.
Cross-Department Coordination:
- Work closely with the kitchen, housekeeping, and engineering teams to understand their requirements.
- Ensure timely delivery of goods and services to meet operational needs.
- Coordinate with the finance team for invoice processing and payments.
Cost Control:
- Monitor and control costs while maintaining quality and standards.
- Identify opportunities for cost-saving initiatives and process improvements.
Market Research:
- Stay updated on market trends, new products, and potential suppliers.
- Provide recommendations for new sourcing opportunities to improve operational efficiency.
